EXHIBITOR AGREEMENT

Dear Exhibitor,

Welcome to the Penshurst Art Fair 2026. Following the success of our inaugural year, PAF returns to historic Penshurst Village Hall with a great group of exhibitors this year, and I can’t wait to see the hall come to life with your work.

I will be in touch nearer the date with digital PR and physical flyers. If you have any questions in the meantime, please don't hesitate to ask.

To ensure everything runs smoothly, please review the following details regarding payment to secure your stand, setup, general logistics, and promotion.

🗓️ Key Dates & Times

  • Setup: Friday, 16th October, starting at 1:30 PM.

  • Preview Evening: Friday, 16th October, 5:00 PM – 8:00 PM (Wine & canapés).

  • Public Visiting Hours: Saturday 17th & Sunday 18th, 10:00 AM – 4:00 PM.

🎨 Stand Details & Requirements

We want your work to look its best! Please note the specific requirements for your display type:

For artists with screens:

  • Space: You will have three joined screens (each 1m wide x 2m high).

  • Hanging: Two hooks per screen are provided. Please bring your own hanging cords.

  • Furniture: Space is available for a small table only (max 1m²)

  • Do’s & Don’ts: Drawing pins are allowed; however, no Blu-tack please. You may store spare artwork and wrap behind your screens.

For creators with tables (Ceramics/Jewellery):

  • Space: You will be provided with two 6ft tables.

  • Linens: Please bring your own tablecloths.

  • Lighting: You must use battery-operated lights, as cables cannot run across the floor.

💡 Lighting & Electrics

  • Screens: You will have access to sockets. Please bring an extension cable with multi-plugs. For exhibitors with tables, please bring battery operated lights.

  • Regulations: Only one extension cable per socket is permitted (no "daisy-chaining").

  • Recommendations: Battery-operated clip lights or floor-standing lights are useful and highly effective. Floor standing lights are recommended for those exhibiting on the stage.

💳 Payment & Insurance

The exhibitor fee is £150, due by 1st July. This covers hall hire, publicity, banners, and preview drinks.

  • Insurance: All exhibitors must hold their own third-party insurance and are responsible for processing their own sales.

📣 Promotion & Preview Evening

Success depends on our collective promotions and reach! While we will have banners and flyers in Penshurst, personal invitations are the most effective way to drive attendance.

  • Digital: We will provide a JPEG flyer for email invitations and social media promotion.

  • Personal Touch: Please send personal emails and hand out physical flyers to your private contacts.

  • Publicity Image: Please send one high-quality image of your work (max 4MB) to Sue for the promotional flyer.

    Please include these links in your posts to promote the event.

  • Hospitality: We kindly ask each artist to bring a large plate of canapés for the Preview Evening. Profits from the bar will be donated to a local charity.

🚗 Logistics & Hall Rules

  • Parking: There is no parking directly outside the Hall. Please unload promptly and move your vehicle further up the road to keep the entrance clear for visitors.

  • Tidying up: All rubbish and packing materials must be taken away at the end of the event.

  • Safety: The Organisers/Trustees are not responsible for the security of items brought into the hall or vehicles parked nearby. Smoking and vaping are strictly prohibited inside.
